Automation for small and mid-sized businesses

Save time on repetitive work without losing control.

We connect the tools you already use and, in 21 days, automate one of your processes: data, reports, reminders or inquiries. You decide what runs on its own and what waits for approval.

What could you stop doing manually?

  • Retyping details

From form details to a record in your spreadsheet or CRM, without retyping.

  • Chasing unfinished tasks

An overdue task prompts an internal reminder to its owner, instead of manual checks.

  • Assembling regular reports

Data from your work systems in one report, with missing information flagged.

  • Forwarding customer requests

An incoming request reaches the responsible person with the details they need, without manual forwarding.

You set the rules. Routine steps can run automatically; your team resolves missing or conflicting information. We agree on control over client messages and sensitive actions, with human approval by default.

These are example workflows.

The problem

Your team loses time to work that repeats every day.

Copying between systems, chasing updates, assembling reports. Small tasks add up.

  • Information lives in different places

Your team moves the same details between emails, spreadsheets and work systems.

  • Reports are assembled by hand

Every week, someone opens the same tools, copies the numbers and puts another report together.

  • Unfinished tasks stop moving

There is no reminder or clear owner, and the latest status is buried in chats and emails.

Routine steps sign themselves. The decisions that matter stay yours.

One process in 21 days

Your first automated workflow

We choose one repetitive process with enough volume: moving data, coordinating tasks, reporting or customer requests. We agree on the scope and measure the time before and after.

Every project includes

  • A map of the process and how long it takes today.
  • A connection between the agreed data sources and one work system.
  • Automated steps based on agreed rules, with drafts for your approval.
  • Reminders and notifications to the person responsible.
  • A report comparing before and after.
  • Handover to your team: training, a one-page procedure, exception rules and a recommendation on whether to continue.

€1,500–€3,500 · final quote after the diagnostic

A personal commitment: if the diagnostic shows that automation won’t pay off for you, I will tell you directly instead of selling you a project.

How it works

First we understand the process. Then we automate it.

We deliberately limit the scope so you get a measurable result instead of months of work with an unclear return.

  1. 1

    Diagnostic

30 minutes, free. We find where time is lost and whether it is worth automating at all.

  2. 2

    One process in 21 days

We work to an agreed scope. You decide what runs automatically and what waits for approval. By default, a person approves client messages and prices.

  3. 3

    Measurement and decision

We compare before and after on the agreed metric. We continue only if the numbers justify it.

Time value calculator

How much time do you lose to manual work?

Estimate the time spent on one repetitive process: moving data, processing orders or documents, coordinating tasks, reporting or handling inquiries.

Estimated gross value of staff time freed: not guaranteed cash savings, net profit or payback. It does not deduct setup, support or tool costs. We check the actual effect by measuring before and after.

Example: two people spend 10 minutes each. Enter 10 minutes and 2 people, not 20 and 2. If you only know the total team time, enter 20 minutes and 1. Rework hours apply to the whole team and count only once.

How we calculate

Formula: monthly repetitions × average minutes per person × people ÷ 60 + total rework hours = current staff hours. Hours freed = current hours × your chosen automation share. Value = hours freed × €/hour; annual = monthly value × 12.

  • Enter monthly volume. Minutes mean active work per person, not waiting time. If durations differ, use the average time per participant.
  • By default we assume 50% of routine work can be saved. The rest stays with humans for review, exceptions, and control.
  • The hourly value is an internal estimate: salary, taxes, management, and lost focus.
  • We don’t include extra sales or other indirect benefits. That keeps the estimate conservative.

80 × 18 × 1 ÷ 60 + 3 = 27.0 h

Current manual load27.0 hours a monthTime value: €483
Potential time freed13.5 hours a monthEstimated value: €242 a month
Stays under human control13.5 hours a monthReviews, exceptions, decisions, and client communication
Annual value of time freed€2,900At the same volume for 12 months

How we’ll check whether it’s worth it

For your workflow, we define together which steps can run automatically and which decisions stay with your team. We agree on the rules and when missing or conflicting information needs a person to step in.

For your process, we compare the time spent before and after the automation. We publish results only with the client’s permission.

A personal commitment: if the diagnostic shows that automation won’t pay off for you, I will tell you directly instead of selling you a project.

What automation looks like in your business

6 illustrative concepts, from inquiries and quotes to orders, documents and reporting.

Inquiry → Quote without manual copying and pasting

Inquiries come in from the website, email, and social media, while every quote waits for the person who “knows how it’s done”. Chasing a client depends on someone’s memory.

What you get

For every inquiry: a record with an owner, a draft reply and a quote outline, ready for review. Nothing goes to the client without your approval.

  1. 1Inquiry from the website, email or social media
  2. 2Automatic CRM record with source, status, and owner
  3. 3Summary and tags by agreed rules: what the client wants and what’s missing
  4. 4Draft first reply and quote outline
  5. 5Reminder task if there’s no reply after 3 days
  6. 6Weekly report on volume and bottlenecks

Illustrative tools, subject to a compatibility check

Website form, Gmail or Outlook, HubSpot, Pipedrive or Google Sheets, Slack or Teams

What we measure in the project

  • Time to first internal action on an inquiry
  • Time to prepare a reply or quote
  • Share of inquiries with a next step
I want a process like this

Security and data

You stay in control.

You choose the level of control

The system can summarize, classify and prepare drafts, while routine steps can run fully automatically. By default, your team approves client messages, quotes, prices and sensitive actions. SpestiVreme starts with a limited project, not an autonomous system speaking on your behalf.

We use only the data we need

Before implementation we document what data is needed, where it comes from, who has access and what must never leave your environment.

Sensitive processes are scoped separately

For personal, financial, HR, medical or contractual data, we first define the constraints, roles, access and tools.

FAQ

Frequently asked questions

Is this a chatbot?

No. We build automations around a specific process. The first value is often an organized process: the right place for the data, a summary, a draft, a next step and a report.

Will the system send messages to our clients on its own?

Only if you decide so. By default it prepares drafts and summaries, and a person approves client messages and quotes. Routine internal steps, such as records, reminders and reports, can run fully automatically.

Do we need to replace our CRM or software?

You don’t need to. We start with the tools you already use and check their compatibility during the diagnostic.

What does the project include and what does it cost?

One process in 21 days: a process map and how long it takes today, a connection between the agreed data sources and one work system, automated steps and drafts for your approval, reminders, a report comparing before and after and a handover to your team. The indicative price is €1,500–€3,500; the final quote follows the diagnostic.

What happens after the diagnostic?

We tell you honestly whether automation makes sense for you. If it does, we propose a scope and a quote for a project. If it doesn’t, we say so directly. There is no commitment.

How do you handle our data?

We use only the data we need. Before implementation we document what data is needed, where it comes from, who has access and what must never leave your environment. Processes with personal, financial, HR, medical or contractual data are scoped separately.

Who is this not a fit for?

If the process repeats fewer than 20 times a month, or nobody on your side knows it and can own it, it is probably not the right time.

What results are realistic?

It depends on your volume, how long the process takes today and the exceptions. That is why every project starts by measuring one agreed metric before and after, not with a promised percentage or payback period.
